School Designee



As a school designee, you can report required compliance information and documents to your School District. Keep in mind that you can be linked to multiple schools with the same School Designee account.


Step 1: sign-up and activate your account (valid email address required!) or sign-in if you already have an account




Step 2: link your user account to one or more schools

Notice:
Requests to be linked to a school must be reviewed and approved by the School District.






Step 3: Your link request is approved by the School District

Schools that you were approved for as an authorized designee will have the following toolbar at the bottom of the rectangle.
In this tutorial, we will be focus only on the compliance reporting tool. This tool is accessible via the Benchmark Schedule (left-most action button).


Locate the Benchmark Schedule calendar icon which may also display a numeric badge. Numeric badges indicate the number of compliance benchmarks that must be completed.


The Compliance Schedule

The compliance schedule is a list of all reporting tasks (we call them benchmarks) for the entire school year for a given school. Benchmarks are sorted by their reporting due date and also grouped by reporting month.

Located at the top of the compliance schedule is the monthly navigation section. The name of each month is a clickable link that takes you to the beginning of the compliance list for that month. In addition, the monthly navigation section displays a progress bar that indicates the percent of compliance benchmarks that have been completed in a given month.





Every time you navigate to the benchmark schedule page, the system will automatically scroll to the beginning of the current month. To scroll to the top of the page, click the Top button that appears at the lower right corner of the page.




Working with Benchmarks

Each compliance benchmark contains important information elements and in some cases, web forms and documents. The following lists each information element in the summary view of a single benchmark (from left to right).

  • Benchmark Title: a clickable link that can show / hide additional benchmark details
  • Due Date: (below title) the deadline for submitting the benchmark for review
  • Priority: (below title next to due date) a number between 1 and 5 that indicates the importance (weight) of this benchmark
  • School Name
  • Contact Persons: one or more district staff members who were assigned as a support person for this benchmark
  • Current Status / Score: if you do not see a score, it is because the school district decided to disable this feature
  • Action Toolbar: a group of action buttons that support interacion with the benchmark content


The action toolbar may include 2 to 5 buttons depending on specific attributes of the compliance benchmark.


Starting with the left-most action button:

  • A button with a red flag indicates the same benchmark from the last school year was not completed. Click on this button to see the details of the benchmark from last year.

  • A button with a download icon indicates that one or more files were provided by the school district and should be used in the reporting of the current benchmark in some manner.

  • The large button with 3 icons refers to the state of the three types of artifacts that can be linked to a benchmark: attachments, notes, and web links. Click on this button to navigate to the benchmark artifacts area.

  • A button with a history icon allows you see important events that occured to the current benchmark since the start of the current school year.

One or more files may be attached to a single benchmark. File types that can be uploaded include: Excel spreadsheet, Word document, PDF, and images. Currently, there is a size limit of 10MB for a single file. Click the Add button to display the Benchmark File Upload form.



Once the file upload completes, it will be listed in the Attachments area. The following actions are available for each file that you have uploaded:

  1. Edit the file title (the default text is the benchmar heading)
  2. Download the file
  3. Delete the file



In some cases, it is necessary to post notes regarding a given benchmark. Notes can be posted by school designees and LEA staff members. Click the Add button to display the New Note form. You can also click the Post Response button to respond to an existing note.





In additioin to attaching files to a benchmark, you can also attach one or more web links that are relevant to the benchmark.

Click the Add button to display the Benchmark Web Link form. Do not attempt to type the web link's address. Simply Copy and Paste the link from your browser into the text box, add a title for the web link (optional), and click on the Save button.



The following is an example of a benchmark with various artifiacts.



Once you are done with providing all the necessary reporting artifacts, the final step is to submit the benchmark for review by the School District. In order to submit a benchmark, select the ready for review status from the drop-down list and then click Update



Submitted benchmarks are reviewed by School District staff. Upon review of a submitted benchmark, School District staff may indicate that the benchmark is:

  • Complete: either on-time or late
  • Incomplete: because information or documents are missing (in such cases, notes from the reviewer are expected to be posted)
  • Deficient: to indicate non-compliance after repeated attempts or prolonged periods of no responses to incomplete benchmarks from the school



As Needed Reporting

Title1.Tools supports the ability to report to the district "As Needed". In other words, respond to compliance tasks that don't have a set due date.

  • Step 1: navigate to the benchmark schedule page
  • Step 2: scroll to the top and click on button
  • Step 3: select the compliance task you need to report on from the dropdown list
  • Step 4: click on the button
  • Step 5: locate the newly created compliance task in the current month section and continue with the regular process of working with compliance benchmarks
